Corrective invoices in Spain (factura rectificativa): when they are mandatory and how to issue them properly
In Spain, an issued invoice is never deleted or rewritten: it is corrected with a factura rectificativa. Under VeriFactu this is no longer just good practice — every record is hash-chained, and every correction must leave a trail. The good news: once you understand the mechanics, a corrective invoice takes two minutes.
When it is mandatory
Article 15 of the Spanish Invoicing Regulation requires a corrective invoice in three groups of cases:
- Errors in the original invoice: a wrong tax ID (NIF), a wrong address, the wrong VAT rate, a wrong amount — any mandatory field that fails the Regulation is fixed with a corrective invoice.
- Changes to the taxable base (art. 80 of the VAT Act): returned goods, discounts or rebates granted after issuing, contract termination, or a customer default (insolvency or bad debt under the conditions of art. 80.Cuatro).
- Returned packaging that was originally invoiced.
You do not need a corrective invoice while the document is still a draft — drafts are simply edited.
Substitution or difference method
There are two valid ways to correct:
- Substitution: the corrective invoice shows the complete correct data and states the correction made. It replaces the original for all purposes.
- Difference: the corrective invoice records only the adjustment (for instance −€200 base and −€42 VAT). The natural choice for retroactive discounts or partial returns.
Either way, the corrective invoice must identify the corrected invoice (number and date) and the reason for the correction.
Its own series and numbering
Corrective invoices use a dedicated series: they never consume numbers from your ordinary series. InvoSeal creates the corrective series automatically and assigns the sequential number for you — the PDF shows the reference to the original invoice and the express mention "factura rectificativa".
Deadlines worth knowing
- Issue the corrective invoice as soon as you become aware of the error or the circumstance, and always within four years of accrual (or of the art. 80 event).
- For bad debts the calendar is strict: in general six months or one year from accrual to pursue collection, then three months to issue the corrective invoice, plus one month to notify the AEAT.
- A correction that reduces VAT is absorbed in the return of the period when it is issued; one that increases VAT may require amending the original period's return.
The VeriFactu trail
Under VeriFactu there is no silent deletion: the original invoice stays registered with its hash, and the corrective invoice is recorded as a new, chained event. That trail is your best defence — it proves the error was fixed through the legal channel. Cancelling and re-doing invoices "by hand" outside the system breaks the chain, which is exactly what the anti-fraud rules target.
In InvoSeal, step by step
1. Open the issued invoice and click «Issue corrective invoice». 2. Pick the reason (data error, discount, return, unpaid) and the method (substitution or difference). 3. Review the draft generated with the reference to the original. 4. Issue: electronic signature, corrective series and chained registration — all automatic.
Unsure about a specific case — a payment default dragging on, a discount agreed after the fact? Open a Support ticket before issuing. A badly framed corrective invoice can be repaired; avoiding it is better.
