Deductible expenses for freelancers in Spain: which receipt to ask for on every purchase (and which are worthless)
Deducting an expense requires three things at once: it must be business-related, recorded, and documented. The third leg is where most deductions die — because not all papers are equal, and nobody thinks about form 303 at the till.
The hierarchy of supporting documents
1. Full invoice (with your name and tax ID): the queen. Deducts the expense in income tax and the input VAT. It is the only one that supports VAT deduction. 2. Qualified simplified invoice (the till receipt to which the shop adds your tax ID and itemised VAT — possible up to certain amounts): also supports VAT deduction. Asking costs one minute at the counter. 3. Ordinary simplified invoice (the plain receipt): can support the expense in income tax if you prove the business link — never the VAT. 4. Receipts, bank statements, payment screenshots: they prove the payment, not the transaction. Alone, they support no deduction — they accompany.
Counter rule: from €50 up, always ask for the full invoice. Below that, at least the receipt with your tax ID if there's VAT to recover.
The most-rejected expenses (and how to armour them)
- Meals: deductible in income tax within limits (€26.67/day in Spain without overnight stay), on working days only, in hospitality establishments and paid electronically. A simplified invoice works for income tax; VAT demands the full one. Saturday's family menu doesn't qualify — the AEAT cross-checks dates.
- Vehicle: in income tax, deducting a car requires exclusive business use (except hauliers and sales reps) — fuel for a mixed-use car is systematically rejected. In VAT, by contrast, the 50% presumption applies. Two taxes, two rules: don't mix them.
- Home utilities (remote work): 30% of the proportion of square metres declared in your census form. No declared square metres on the 036, no deduction.
- Phone and internet: doctrine demands a separate line or a defensible proportion.
- Clothing: only work garments with branding or specific character (the "client suit" doesn't deduct).
The right loop in InvoSeal
1. Every purchase → photo or PDF into Received invoices: the OCR extracts supplier, date, base and VAT. 2. Review the category and confirm: the expense is recorded with its document attached — the pair the AEAT wants to see. 3. Using a control spreadsheet? House rule: the Excel feeds your dashboard but never replaces the document — upload every original invoice (template in the manual). 4. At quarter close, the export hands your advisor the books with referenced documents.
The litmus test
Before deducting anything doubtful, ask the auditor's question: "Can I explain in one sentence what this expense contributed to my activity — and show the paper that proves it?" Two yeses: deduct without fear. One no: the manual's Tax guide and a Support ticket cost less than a reassessment.
